Volunteers of Legal Service (VOLS) seeks a detailed-oriented and motivated Coordinator to maintain our data collection, tracking and reporting and create and manage certain grant contract deliverables.

For nearly 40 years, VOLS has provided free, civil legal services to low-income New Yorkers including seniors, veterans, unemployed workers, immigrant youth, children and their families, mothers in prison or jail, and small business owners. VOLS’ staff of 21, including 12 attorneys, works with volunteer lawyers from over 70 law firms/companies to multiply impact, and we partner with 150+ community groups to ensure that our services are accessible and address local needs. 

 

About the Role 

 

VOLS is seeking a Data & Contracts Coordinator to provide administrative support to VOLS’ ongoing needs with respect to data collection, tracking and reporting for legal services cases and grant reporting and applications, as well as tracking grant contract deadlines and payment schedules. The person in this role will report directly to the Development & Communications Director and work closely with and the Legal Director and other members of the Leadership Team, as well as the VOLS finance t team to support them with data collection, tracking, and reporting. The Coordinator will be responsible for generating data-based reports for both internal and external use. 

 

Responsibilities 

 

  • Data Coordination 

  • Update and adhere to an efficient system for legal services case management data entry; update related internal procedures as needed 

  • Onboard and train staff on case management data collection procedures and provide ongoing support for staff  

  • Ensure data collection presents a robust picture of VOLS’ work, including advising on methods and information for collection of data 

  • Perform regular data quality checks 

 

  • Data Reporting Coordination 

  • Run reports as needed for internal use, including for quarterly Board meetings, annual reports, program goal tracking and ad hoc requests from the Leadership Team 

  • Run reports as needed for external use, including for grant and other funder reports and applications, government requests  

  • Communicate findings from reports to Leadership Team and other staff, including presenting data in a user-friendly way 

 

  • Contract Coordination 

  • Maintain calendar grant contract reporting and applications 

  • Track program deliverables for grant contracts and do the necessary work to create the reports and complete reporting forms, including coordination with Finance regarding needed documents, forms and information 

 

Qualifications 

 

  • Bachelor’s Degree required 

  • Relevant experience or coursework in relevant quantitative areas (e.g., Management Information Systems, Statistics, and/or Mathematics) preferred 

  • Highly detail oriented and organized 

  • Conscious of deadlines and ability to plan accordingly to meet them 

  • Familiarity with Legal Server or similar software used for tracking case management  

  • Experience entering data and running reports using case management or customer relationship management software 

  • Understanding of contract deadlines and tracking 

  • Interested in maximizing the potential of data systems, particularly to support high-quality, free legal services to low-income New Yorkers 

  • Ability to train non-tech proficient staff members in using data systems 

  • Ability to work independently and on a computer for long periods of time  

  • Knowledge of Microsoft Teams preferred 

  • Experience with city/state contracts preferred 

  • Passion for the mission of providing high-quality, free legal services to low-income New Yorkers 

 

The position will be temporarily hybrid but will transition to primarily in person.

Compensation and benefits: 

 

The annual salary range for this position is $40,000 to $45,000 and will be determined by a collective bargaining agreement and be commensurate with experience. VOLS offers an excellent benefits package, including health, life and disability insurance, a retirement plan to which VOLS contributes and the option to contribute to a 403(b) plan. We provide 25 days of paid vacation, 12 days of paid sick leave, and 3 personal days annually.
