The Staff Accountant serves as a critical member of a 3-person Finance team and performs a wide variety of tasks related to two key functions: Payroll and Accounts Payable. As the Staff Accountant you will provide reporting and analysis of financial information in support of payroll processing, collective bargaining, budget planning, contract development, and grant reporting. You will also manage the organization’s accounts payable function: providing training to employees on financial policies and procedures, reviewing employee expense reports, and entering records in the accounting system. You must be diligent, detail-oriented, analytical, and organized, with the ability to handle sensitive information with a high degree of confidentiality.

Perform Payroll Entry, Audit, Allocation, and Analysis

  • Work closely with Human Resources to track the proper staff time allocation across various departments, projects and grants

  • Track salary variance between budget and actual, discuss with managers in order to ensure proper allocation and spend down

  • Provide salary reporting and financial analysis for StoryCorps management to support collective bargaining as well as budget and contract development

  • Provide support for Payroll processing and audit – for example, entering payroll changes and/or reviewing payroll to ensure accuracy and compliance, as assigned


Manage accounts payable and expense reporting process

  • Review accounts payable invoices and employee expense reports for accurate coding, required supporting documentation and supervisory approval, and appropriateness of business expenses

  • Enter accounts payable invoices, employee expense reports, and vendor records in the accounting system

  • Reconcile expense reports submitted to the monthly credit card statement

  • Maintain filing of all invoices and employee expense reports

  • Conduct regular training for staff on the organization’s business and travel expense policies, as well as accounts payable and expense reporting procedures

  • Respond to staff and vendor inquiries related to accounts payable and expense reporting, and follow up with staff on incorrect or delinquent expense reports


Manage process of receiving and recording cash and credit card receipts

  • Manage the receipt, deposit, and coding of donations and customer payments received by check and/or credit card

  • Coordinate with Development and other revenue-generating departments to ensure prompt deposit of all incoming check and credit card payments and donations

  • Enter journal entries to record cash receipts in financial system

  • Maintain files of all cash receipts and credit card donations

  • Respond to staff inquiries regarding the status of donations and customer payments


Reconcile general ledger accounts and conduct financial analysis

  • Prepare monthly reconciliations for select general ledger accounts 

  • Prepare monthly bank reconciliations for bank accounts

  • Coordinate with other finance staff to ensure recording of any reconciling items in the financial system


Support budget and grant reporting processes

  • Manage distribution of monthly budget reporting to departments

  • Review budget vs actual reports to identify any spending not in line with budget; communicate any potential budget issues to Director, Finance


Other tasks

  • Prepare monthly journal entries, including payroll, prepaid expenses, in-kind donations, and other accounting activity

  • Perform other duties to support the Finance department, as assigned



  • You have education equivalent to an Associate’s degree in accounting, or equivalent professional experience and knowledge of Generally Accepted Accounting Principles (GAAP)

  • You have a minimum 2 years working in an accounting department.

  • You are experienced with accounting systems – accounts payable, employee expense reports, cash receipts, journal entries, and reporting.

  • You have excellent organizational skills and the ability to prioritize and work under deadlines.

  • You have a keen attention to detail and a commitment to high quality work.

  • You are proficient in MS Word and Excel.

  • You are able to handle sensitive information with a high degree of confidentiality.

  • You demonstrate effective communication, with internal and external parties – by email, phone, and in person.

  • You are comfortable leading trainings for small groups.

  • You are able to work independently, with minimal supervision, as well as collaboratively, as part of a team. 

  • You are able to be flexible and adaptable in order to contribute to problem-solving activities within a dynamic and fast-paced organization.

  • You demonstrate cultural humility and thrive in a diverse working environment.



  • You have experience working in a nonprofit organizational environment

  • You are proficient on a Mac platform

  • You have experience with FinancialForce, Salesforce, and/or Concur
