SUMMARY OF POSITION

PHI’s Accounting Manager is responsible for supporting the Finance Department in creating and maintaining accurate and timely nonprofit financial reports for the organization. The Accounting Manager is responsible for maintaining the general ledger, preparing monthly financial statements, processing payroll and employee expenses, and fixed assets. He/she will work closely with the Senior Accountant to prepare monthly closing account and financial analyses and support the Chief Financial Officer in the preparation of the organizational and departmental budgets, project and organizational-level management reports, and variance analyses.

POSITION RESPONSIBILITIES

  • Prepare monthly, quarterly, periodic, and annual financial statements and reports in accordance with FASB.
  • Manage and maintain an accurate and real-time general ledger by reviewing and approving invoices, bills, journal entries, deposits and related entries.
  • Lead the month-end close process and work closely with the Senior Accountant to complete monthly analysis of general ledger accounts including revenue deferrals and accruals and expense prepayments and accruals; review trial balance for completeness and accuracy.
  • Full-cycle payroll processing including managing and maintaining compliance with federal, state, and city regulations and filings and company policies, reconciliation of payroll-related accounts, and W-2 information.
  • Verify and process information received from the Human Resources Department related to payroll, benefits, and related liabilities and provide information to the Human Resources Department for reporting and other purposes as required.
  • Ensure accurate records for and management of fixed assets and operating leases.
  • Manage and maintain Nexonia, the employee forms application, including synchronization with Intacct, the accounting software. Review and approve monthly employee expense reimbursements and corporate American Express reports, monitor and ensure weekly timesheet submission, and timely transfer approved time and expense data.
  • Reconcile bank and investment accounts monthly and resolve outstanding items timely.
  • Work closely with the Chief Financial Officer in the preparation of departmental and organizational budgets and variance analysis.
  • Support the Chief Financial Officer in the creation, documentation, implementation, administration, and maintenance of accounting and other related policies and procedures.
  • Work with the Senior Accountant to maintain exceptional records management and storage.

QUALIFICATIONS

  • Bachelor’s Degree in Accounting or Finance required.
  • Minimum of five years’ nonprofit accounting experience required. 
  • Experience managing the financial close process, reviewing monthly general ledger reconciliations, developing and tracking budgets, and financial statement preparation.
  • Advanced knowledge of accounting best practices, laws, standards, state, and national regulations.
  • Excellent problem-solving skills along with the capacity to work in a fast-paced environment.
  • Effective communication skills, both verbal and written.
  • Strong analytical and exceptional time-management skills.
  • A self-starter with the ability to work collaboratively with diverse groups.
  • Organized, thorough, and detailed-oriented work style.
  • Proficient in nonprofit and fund accounting software, Intacct preferred, as well as related software including ADP Workforce Now and Microsoft Office suite.
  • Thorough knowledge of Generally Accepted Accounting principles.

REPORTING RELATIONSHIP
The position reports to PHI’s Chief Financial Officer.
