Bethany Arts Community is seeking candidates for a part-time Office Manager position.

Compensation and Benefits:
$22-25 per hour based on experience

Position Type and Work Schedule:
Part-time (20-30 hours per week)

Our mission: Bethany is a space and environment where all forms of art can be learned and expressed. Nurturing the creative process, Bethany welcomes artists, from young to old, and all levels of skill, to explore and create art that the community can engage with. Bethany fosters sharing, connection, and collaboration, in an inclusive culture where people experience the power of art to improve lives and deepen their perceptions and perspectives of the world.

We opened the doors to Bethany Arts Community in 2018 to artists and community members. Since inception, Bethany has offered artists residencies, studios, after-school and camp programs, art exhibits and more. Bethany Arts Community continues to grow and respond to the needs of the local community and to artists in the region and across the country.

Office Manager Responsibilities

  • Office Maintenance and Organization
    • Inventory of office supplies
    • Supports company operations by creating and maintaining office systems.
    • Maintains office efficiency by planning, and upon approval, implementing office systems, layouts, and equipment procurement.
    • Designs, and upon approval, implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
  • Administration
    • Maintains Filing System
      • Collects and scans receipts and important documents
      • Ensures documentation of COIs, waivers, and agreement
    • Support President and Executive Director in check writing, documentation, and distribution.
    • Control, collect, and track studio artist rents
    • Print and post lobby signage and handouts to highlight current and upcoming programs in coordination with Program and Events Coordinator.
    • Write and distribute expense reports and invoices to the proper parties and ensure documentation of the signed report and paid invoices.
    • Assist Treasurer with yearly insurance audit.
  • Facilities
    • Schedule laundry services
    • Schedule housekeeping services in coordination with BAC’s calendar of events, residencies, classes, and other programs as needed.
    • Scheduling any facility repair needs with proper vendor in coordination with Maintenance Manager
    • Track and facility quarterly and yearly inspections for the board of health, elevator, wet sprinkler, alarm, backflow prevention, fire suppression, and extinguishers.
  • Residencies, Classes, Exhibit Events
    • Assist Program and Events Coordinator with communication for residency events, room assignments, creative space assignments.
  • Education/Experience
    • High school diploma, GED, or equivalent
    • Two to three years of experience as an office manager or similar role


  • Strong written and verbal communication and interpersonal skills.
  • Strong organizational and administrative skills

  • Ability to work self-directed and take initiative and work within a small group; manage several projects at once and meet deadlines
  • Creative thinker and detail-oriented problem solving

  • Flexibility to work occasional evenings and weekends for programs and events
  • Proficient in Microsoft 365, Mac applications, and Intuit QuickBooks 
  • A Bonus
    • Experience in the arts, arts education, applied arts, community engagement, and/or nonprofit arts administration
    • Bilingual in Spanish and English
