The Brooklyn Conservatory of Music  (“BKCM” or “the Conservatory”) is a non-profit community music school based in Brooklyn, NY. We provide high-quality music education and music therapy to more than 7,000 New Yorkers out of our home in Park Slope, and at more than 70 public schools and community-based organizations across the five boroughs of New York City. Our FY23 budget is approximately $6.5 mm, of which we will raise approximately $1.75 – $2.25 mm from private individuals, corporations, foundations, and government. BKCM is seeking a full-time Development Administrator to support all aspects of BKCM’s fundraising operations; they will be co-managed by the Individual Giving Officer and Institutional Giving Manager. The Development Administrator will be responsible for development administration, prospect research, and support of solicitation and stewardship cycles. They will be a much-valued member of a growing, fun, and creative team whose contributions are eagerly anticipated – we can’t wait to learn from you!

We are seeking candidates who’ve previously worked in development or have transferable experiences that demonstrate critical skills for this role such as creative problem-solving, the fortitude to keep the department on track, successfully utilizing various software platforms, and a track record of collaborating across diverse teams and stakeholders. We are looking for a candidate excited for new challenges who is searching for their next long-term role.

Our organization is fast-paced, and our hardworking staff is passionate about the Conservatory’s mission. This position will require flexible availability for occasional evening and weekend work, particularly around special event periods. Candidates should possess excellent organizational / project management skills, be curious and learning-minded, able to work independently and in collaboration, and technologically savvy. BKCM uses Salesforce as its CRM. This is a hybrid (remote and in-person) full-time position with a $50,000–$55,000 salary range + benefits commensurate with experience. 

Duties

  • Manage the timely acknowledgement of gifts and assure that all types of donations (cash, pledges, matching gifts, and planned gifts) are properly documented

  • Prepare accurate research on prospects and assemble materials for cultivation and solicitation visits

  • Highly organized and able to handle multiple time-sensitive projects simultaneously, especially when life gets hectic

  • Ensure data integrity through accurate data entry and ongoing clean-up efforts

  • Produce smart, intuitive reports that illuminate data and support active decision-making

  • Generate clear, action-oriented meeting notes for the department 

  • Coordinate the production and distribution of recurring appeals and stewardship materials

  • Assist with the writing and editing of appeals, acknowledgements, donor news, reports, and proposals

  • Collaborate with various departments to plan joyful special events 

  • Manage and update all development support tools and resources needed in the department shared drive

  • Process incoming and outgoing mailings

  • Interact with external stakeholders both online and in person

  • Embody BKCM’s mission to celebrate music and find the fun

Skills Required

Minimum qualifications

  • Bachelor’s degree or equivalent experience in an administrative environment

  • Excellent communication skills and judgment with the ability to maintain privacy and confidentiality

  • Proficient with Google Workspace, Powerpoint, and Excel; experience with Salesforce and/or similar CRM platforms

  • Strong project management skills with demonstrated ability to multi-task and set priorities within tight timelines and high expectations

  • Adept working in a hybrid environment

  • Passion for music and/or arts education a plus

Preferred

  • Familiarity with non-profits, research methods, data standards, and databases

  • Interest in fundraising

  • Affinity for the humanities/arts/culture and/or education

Working Conditions

Generally-office/school environment, but may work on a hybrid schedule for in-person meetings with staff and donors as needed. Hot desking is the norm; you may also be required to attend weekend and/or evening events.
