The Foundation for Opioid Response Efforts (FORE) is an independent 501(c)(3) national nonprofit grantmaking foundation, dedicated to combating the opioid crisis in the United States.

 

The Foundation’s mission is to convene and support partners advancing patient-centered evidence-based solutions addressing the opioid epidemic. With patients at the center, our focus includes Provider Education, Payer Strategies, Policy Initiatives and Public Awareness. Our vision is to inspire and accelerate action to end the opioid epidemic.

 

SUMMARY DESCRIPTION

The Operations Associate reports to the COO and will support the COO & President. He/She will play an integral part of FORE’s team by helping to maintain the day to day aspects of the entire FORE office to support the work to advance the mission of FORE. This position is solely operations in nature.

 

SPECIFIC RESPONSIBILITIES

Office Responsibilities (General, Facilities, Information Technology)

Manages the general operations of the office with guidance from the COO. This includes managing FORE contracts, ordering supplies and equipment repairs, managing vendor contracts, troubleshooting issues, and managing FORE contacts, etc.

 

Maintains the organization’s annual calendar of activities and events. Collects required materials and assists in completing work action items in a timely fashion.

 

Finance

Partner with the COO to reconcile monthly finances, including but not limited to invoices, credit card statements, reimbursements, and coding for accuracy.

 

Provide support to the COO during grant disbursements, annual audit, Board Meetings.

 

Physically and electronically store data in a timely and appropriate manner.

 

Human Resources

Provide support to acclimate new hires.

 

Ensure and maintain that general policies and procedures are met and adhered to as described in the Policy and Procedures Manual as well as the Financial Procedures Manual.

 

Program Relations

 

Manages logistics including travel, meeting, expense reports, correspondence.

 

Provide backup to Program Assistant, including but not limited to updating the Grants Management System.

 

Board and External Relations

 

Assists with logistics of Board meetings, meals, dinners, Board site visits, and board committee meetings. Processes Board reimbursement of expenses for Foundation business.

 

Assists the President, as needed, with drafting update for Board meetings. Distributes Board agenda docket and schedules President’s calls to Board members.

 

Manages all travel arrangements for guests and staff, including logistical arrangements (booking room, food, audio visual needs, etc.).

 

Assist with processing guest expense reimbursements for Foundation business.

 

Other

Carries out special projects requested by the President and the COO.

 

The Operations Associate and Program Assistant will provide back-up to each other.

 

QUALIFICATIONS

 

Bachelor’s degree desired along with several years of direct operations demonstrated experience. Excellent writing and correspondence skills. Has outstanding organizational skills. Excellent interpersonal skills are needed to work effectively with all FORE staff and stakeholders, as well as with external contacts and visitors. Understands the importance of the office and can use discretion in working with people, has diplomatic skills to manage phone calls and appointment requests. Able to work in highly demanding, multiple task environment, with changing priorities. Has excellent computer software and database system skills including Word, PowerPoint, Excel, and CRM systems. A successful candidate must be a team player, self-motivated and able to make optimum use of time. Must have the flexibility to work both with and without supervision.

 

FORE has a small staff, so judgment, integrity, flexibility and the ability to listen with sensitivity to others are traits that are particularly important in an organization of its size, where teamwork is essential to effectiveness. The ability to work collegially and to have an interest in and strong commitment to FORE’s mission are key qualifications.
