About the role: The Board Management Associate is responsible for day-to-day operational and administrative support of the Office of the Executive Director/CEO and International Governance Committee/Board. The incumbent will have a variety of responsibilities that support AJLI Board and the Executive Director/CEO.  The role also works closely with General Counsel on confidential matters.

 

Responsibilities and Essential Functions:

·         Support the stewardship, relationship building and cultivation with board members on behalf of AJLI that result in a premier experience for all international board members.

·         Support the Governance/Board Manager in compiling, drafting, and preparing materials for AJLI website, Board meetings including: PPT presentations, memos and other electronic documents.

·         Responsible for all technology related to the board office and meetings including AV, webinar execution and conference call systems.

·         Assist with all Board and committee meeting logistics including coordination of travel schedules, catering orders, supply orders, mailings, expense reports and other event/meeting needs as they arise.

·         Work with the Finance department to manage and ensure timely reimbursement for all board members for any travel and accommodation costs incurred.

·         Provide general administrative support to the Executive office as assigned.

·         Manage departmental archives and maintain filing on a regular/scheduled basis.

·         Facilitate board member League visits and strategic engagement with the Leagues.

·         Facilitate distribution and archiving of official minutes and notes for board meetings, conference calls, board executive committee meetings, and governance committee meetings; works with staff and board of other committees to ensure appropriate recording of minutes and notes.

 

Required Skills and Competencies:

  • Exceptional verbal, written, interpersonal, presentation and organizational skills. Emphasis on writing, proofreading / editing, and note taking skills
  • Microsoft Office suite proficiency (PowerPoint, Excel, Word, Outlook)
  • Exceptionally organized and detail oriented, with the ability to manage multiple and competing priorities and work independently
  • Experience with social media networking and web-based research and tools
  • Ability to travel 15-20%
  • Ability to participate in occasional weekday evening conference calls and/or webinars
  • Must possess sensitivity to and tolerance of differing views, a friendly, responsive, and patient approach

 

Required Experience and Education:

  • Minimum of a Bachelor’s degree
  • 2+ years of experience with Boards and/or Senior Executives
  • Previous not-for-profit experience a plus, but not required
